The Executive Director plays a vital role in the successful planning, execution, and overall management of the annual conference. This position requires a highly organized, detail-oriented professional who can effectively collaborate with committees, vendors, and leadership to deliver a seamless and high-quality event experience. · Coordinate all aspects of conference planning and management, including collaboration with host hotels and venues, food and beverage services, and audiovisual requirements for sessions.
· Provide comprehensive administrative and logistical support to conference committees.
· Schedule and manage all committee and planning meetings as needed.
· Partner with the Program Committee Chair to coordinate and execute all program logistics.
· Oversee the development, production, and distribution of the conference program.
· Prepare and manage the annual budget in coordination with the Treasurer for Board approval.
· Coordinate the annual audit process and serve as liaison with auditors.
· Manage procurement and maintain inventory of conference equipment, supplies, and branded merchandise.
· Perform financial functions including accounts payable/receivable; proficiency in QuickBooks Online preferred.
· Lead all on-site conference operations to ensure a seamless attendee experience.
· Provide administrative and logistical support to the Board of Directors for meetings and pre-conference activities.
· Recruit, assign, and manage room monitors for all conference sessions.
· Collaborate with sponsors and underwriters to fulfill partnership deliverables.
· Maintain and manage compliance documentation, including Whistleblower and Conflict of Interest policies.
· Identify conference volunteers.
· Ensure adherence to established organizational policies and procedures.
· Perform general administrative duties and other responsibilities as assigned.
